Seller Best Practices Pledge

A voluntary, self-declared statement of ethical business practices for sellers of research-use-only materials. A seller that adopts this pledge is making its own public commitment regarding how it describes, documents, tests, markets, and supports the research-use-only products it sells.

RUO Foundation publishes the principles. The seller makes the promise.

The commitments

A seller adopting this pledge states that it follows the principles below.

Honest Product Representation

We identify and describe our products honestly and do not knowingly make false or materially misleading representations about the materials we sell.

Sellers may use their own product names, catalog numbers, codes, abbreviations, or proprietary identifiers rather than third-party commercial, development, or trademarked names.

We do not use product naming or branding to falsely imply affiliation, authorization, sponsorship, licensing, manufacture, or endorsement by another company or organization.

Representations we make about a product and its supporting documentation must be truthful and reasonably supported.

Clear Research-Use Labeling

We clearly designate research-use-only products as being intended for research use and not for human or veterinary use.

We maintain sufficient identifying information to connect a product with the documentation maintained for that product.

Traceability may be supported through methods including product identifiers, internal records, lot or batch identifiers, QR codes, electronic product records, or other reliable documentation systems. No particular numbering or tracking format is required by this pledge.

Honest Analytical Documentation

When we represent that a product has been independently tested, we make the associated analytical documentation reasonably available.

Access may be provided through a product page, record, identifier, QR code printed on the product or packaging, or another reliable method.

We accurately represent what was tested and what the reported analysis establishes.

We do not knowingly fabricate, materially alter, substitute, or misrepresent laboratory documentation.

Testing Transparency

We do not imply that testing was performed when it was not.

We do not represent an analytical result as establishing characteristics that the underlying test did not evaluate.

Statements concerning testing, purity, identity, quantity, sterility, or other measurable characteristics must accurately reflect the available supporting documentation.

Documentation Integrity

We maintain reasonable records supporting the product and testing representations we make.

We do not invent or embellish information concerning manufacturing origin, supplier relationships, testing, provenance, or other facts that we cannot reasonably substantiate.

Where information is unknown or cannot reasonably be verified, we do not represent speculation as fact.

Responsible Marketing

We do not market or promote research-use-only products, directly or indirectly, as medicines, treatments, therapies, dietary supplements, or products intended for human or veterinary use.

We do not provide personal dosing protocols, administration instructions, treatment recommendations, or claims that our research-use-only products diagnose, treat, cure, prevent, or mitigate disease.

We do not represent research-use-only products as safe or effective for personal use.

Responsible Use of Scientific Literature

Scientific literature may be referenced for legitimate educational or research purposes.

We do not use scientific literature, research findings, or study results in a misleading manner or present them as evidence that a particular seller's product is approved, safe, effective, or suitable for human or veterinary use.

Published research concerning a substance does not, by itself, establish the identity, quality, source, or characteristics of a particular seller's product.

Honest Customer Communication

We answer factual questions concerning our own products, records, testing, documentation, storage, and quality practices truthfully.

Sellers may communicate using their own proprietary product names and identifiers rather than adopting third-party commercial, trademarked, or development terminology.

We do not knowingly make false statements in response to customer questions.

When information cannot reasonably be verified, we do not present an assumption as established fact.

Quality Concerns

We provide customers with a reasonable method to report product-quality or documentation concerns.

We maintain a process for reviewing credible concerns and determining whether corrective action is appropriate.

Corrective Action

When credible information indicates a significant product or documentation issue, we take reasonable steps to investigate.

Where appropriate, corrective action may include customer notification, replacement, withdrawal of affected inventory, correction of documentation, or other measures appropriate to the circumstances.

No False Affiliation

We do not knowingly claim affiliation, authorization, sponsorship, approval, licensing, endorsement, or partnership with a pharmaceutical company, manufacturer, laboratory, research institution, government agency, or other organization when no such relationship exists.

Use of a seller's own product name or identifier should not be interpreted as establishing any relationship with a third party.

Regulatory and Quality Claims

We do not make unsupported representations concerning regulatory status, government approval, manufacturing standards, sterility, quality grade, or other characteristics that would reasonably require substantiation.

Where such a representation is made, it must accurately reflect the product, facility, process, or documentation to which the statement actually applies.

A registration, filing, or other administrative status is not represented as approval of a product unless such approval actually exists.

Seller Responsibility

This pledge is our own statement regarding our own conduct.

By adopting it, we acknowledge that RUO Foundation has not, solely by reason of our adoption, audited our company, inspected our operations, tested our products, verified our suppliers, verified product origin, determined that our activities comply with applicable law, certified or approved our company, or endorsed any product we sell.

Adoption of this pledge alone is self-declared and must not be represented as independent verification by RUO Foundation.

How to take the pledge

There is no application, approval, or review required simply to adopt this voluntary pledge. A seller may publish the following statement:

[Company legal name] has voluntarily adopted the RUO Foundation Seller Best Practices Pledge as an internal standard for the responsible identification, documentation, testing, description, marketing, and support of the research-use-only products we sell.

This is our own self-declaration regarding our business practices. Adoption of this pledge does not mean RUO Foundation has audited, certified, verified, approved, endorsed, or sponsored our company or any product we sell.

A seller may accurately state that it has adopted the pledge. It may not transform voluntary adoption into a representation that RUO Foundation independently evaluated or approved the seller.

Use of the RUO Foundation name and marks

Adoption of this pledge does not grant unrestricted permission to use RUO Foundation logos, seals, certification marks, or other protected branding.

Any separate certification, verification, or credentialing program offered by RUO Foundation is distinct from this voluntary pledge and is governed by its own eligibility requirements and terms of use.

Using the pledge adoption block

The only display permitted is the adoption block published on this page, used exactly as generated. It is a self declaration, not a certification seal, and the disclaimer inside it must stay with it.

A seller may not create its own badge, seal, or graphic that uses RUO Foundation branding, mimics a Foundation mark, or implies certification, audit, verification, approval, sponsorship, or endorsement by the Foundation. Do not alter the disclaimer wording, restyle the block to look like a credential or seal, or pair it with claims the pledge does not support.

RUO Foundation may ask a seller to remove the block or any related wording at any time, including where the pledge is no longer followed or the display is misleading.

Common questions

Questions sellers ask most often about attestation, scope, and record-keeping.

Do I need to apply or be approved to adopt the pledge?

No. Adoption is a self-attestation. There is no application, fee, review, or approval step, and RUO Foundation does not evaluate a seller before or after adoption.

Does adoption mean RUO Foundation checked my company?

No. Adoption alone is not certification, accreditation, verification, audit, endorsement, sponsorship, or affiliation. The Foundation publishes the principles; the seller makes the promise about its own conduct.

What does the pledge actually cover?

It covers how a seller identifies, labels, documents, tests, markets, and supports the research-use-only products it sells. It says nothing about whether any product is safe, sterile, pure, approved, or suitable for human or veterinary use.

Am I required to know who originally manufactured a material?

No. A seller is expected to trace a lot to its own immediate upstream supplier and to honestly disclose any documentation it received about further upstream origin. Sellers are not asked to represent knowledge of manufacturing origin they do not possess.

What records should I keep?

Keep reasonable records that support the product, documentation, and testing representations you make, including lot or batch identifiers, analytical documentation you rely on, supplier records, and quality complaints with their resolution. Retain them long enough to support a recall or an investigation.

Is a specific lot numbering or QR system required?

No. Any reliable method that connects a product to the documentation maintained for it is acceptable, including internal records, product identifiers, QR codes, or electronic product records.

Can I display a badge that says I adopted the pledge?

Yes, but only the adoption block generated on this page, used exactly as generated with its disclaimer intact. Do not create your own badge, seal, or graphic that mimics an RUO Foundation mark or implies certification, audit, approval, or endorsement.

Does adoption offer any legal protection?

No. The pledge is not legal advice and does not protect against regulatory action, intellectual-property claims, or civil litigation. It cannot make an otherwise unlawful activity lawful.

Can I stop following the pledge later?

Yes. Adoption is voluntary. If your practices no longer match the commitments, remove the public statement rather than continuing to claim adherence.

Report suspected misuse of our name or marks

If you see a seller claiming to be RUO Foundation certified, approved, accredited, licensed, verified, audited, vetted, partnered, or otherwise endorsed, tell us. The same applies to any badge, seal, or graphic that uses or imitates RUO Foundation branding.

Please do not send confidential or privileged information. Reports are educational and enforcement related to the Foundation's own name and marks only. RUO Foundation does not investigate product quality disputes, does not provide legal advice, and does not act on behalf of a reporting party.

Standing notice

Research-use-only designation does not determine the legal or regulatory status of a product or activity by itself.

RUO Foundation provides education and voluntary standards. It does not provide medical or legal advice, does not confer government recognition or approval, and cannot make an otherwise unlawful activity lawful.

Comment on the language

Sellers, laboratories, buyers, and attorneys are invited to comment on the draft pledge. Commenting does not enroll an organization in anything, and RUO Foundation does not publish a list of sellers who adopt it.
